Job Description: The Director of Operations and Finance (OFD) is an integral leadership role of the ZJF team and is responsible for managing and completing all operations and accounting tasks for the organization. This position offers the opportunity to engage, support, and provide continuous improvement of system processes and procedures that embrace the mission and values of our growing organization.

With direction and partnership of the Executive Director, Finance committee, and board of directors the OFD will help build and lead the organization’s culture while managing the accounting system, audits, software technology, and core human resources processes such as benefits, onboarding, identifying, and managing external professional services, as needed.

This position requires the ability to manage multiple projects, is extremely detail oriented, and has strong relationship management skills. Experience with QuickBooks and Microsoft Office Suite is strongly preferred.

A successful candidate will have experience in accounting, QuickBooks, financial reporting, database management, payroll processing and overall operational management. Ideally, would have some human resources experience, however not required if willing to learn and is at minimum one who is approachable and able to maintain confidential information.

Operations & Finance Director

Salary: Range starting at $60,000-$70,000, dependent on experience

Employment Status: Exempt (eligible for all benefits)

Hours: Full-Time (40 hours/week) with a flexible work schedule; minimal nights and weekends required.

Job Duties Include (but not limited to):

  • Human resource responsibilities
    • Maintaining the employee handbook (update every 3 years)
    • Onboard new employees
    • Create and manage payroll for employees bi-monthly and independent contractors monthly
    • Managing HR needs of employees
      • Workers’ comp
      • Payroll changes
      • Paid time off calendars and balances
      • Short-term/long-term disability
      • Certification/training due dates
    • Keeping proper paperwork and files for employees, independent contractors, temporary employees, and others paid through the Zach Johnson Foundation.
      • Creating and upholding compliance with independent contractor contracts.
    • Plan and manage all employee performance evaluations and documentation.
    • Manage recruiting and hiring, with support of department heads to identify talent needs.
    • Manage salary increases and benefits for the Foundation.
    • Work with managers to set performance and track performance metrics to ensure accountability for all staff.
    • Provide support to Executive Director or department leaders in staff disciplinary procedures.
    • Communicate, enroll, and manage records for all qualifying employees’ health benefits and retirement plans.
    • Develop, seek out and implement training and development opportunities for staff.
  • Finance responsibilities
    • Oversee overall financial management, planning, systems, and controls.
    • Ensure all end of year taxes are completed, including 1099s.
    • Process monetary and in-kind gifts given including recording one-time and ongoing gifts.
    • Create invoices.
    • Manage vendors and negotiate as needed.
    • Manage and oversee annual budgeting and planning processes with the Executive Director and department leaders.
    • Building and submitting other reports as requested by Executive Director, Program Leader, department leaders or Board of Directors.
    • Manage all aspects of accounts payable and receivable, ensuring timeliness.
    • Preparing, documenting and facilitating bank deposits.
    • Reconcile monthly activity, generate quarterly and year-end reports, and fulfill tax related requirements.
    • Manage donor database ensuring all data is kept current, accurate, and complete
      • Maintain proficiency in fundraising software, train associates as needed.
    • Represent the agency to outside financial auditors, and compile all reports and paperwork requested by auditors.
    • Maintain records and track compliance of all grants, receipts, pledges, endowed gifts, deferred gifts appropriately.
    • Set timetables to ensure that all accounting functions are completed according to the established deadlines as stated in the Financial Procedures.
    • Ensure financial controls are in place to capture revenue for all services provided.
    • Maintain archival and administrative files and ensure execution of the document destruction and retention policies.
  • Other operations responsibilities
    • Serve as the Board Secretary.
      • Work with Executive Director, Board Chair and department leaders to set board meeting agendas.
      • Ensure board actions are taken at the appropriate time annually.
    • Plan and execute quarterly Finance Committee meetings.
    • Assist with technology support (hardware and software) for ZJF and KOC staff.
    • Provide note taking assistance at board and committee meetings, as needed.
    • Maintain corporate records of all management entities’ information to include insurance, management agreements, grants, vendor agreements, etc.
    • Maintain the board book.
    • Assisting with special events throughout the year including, but not limited to, the Zach Johnson Foundation Classic and Kids on Course Classic.
    • Providing other administrative support throughout the year.
  • Other essential functions and duties may be assigned, as needed.

Education and/or Certifications:

  • Background/education – business or accounting related degree. Relevant work experience is strongly preferred.

Skills and Qualifications:

  • Excellent computer skills, including MS Office Suite and administration
  • Database management.
  • QuickBooks Online experience is strongly preferred.
  • Non-profit accounting background is strongly preferred.
  • Ability/willingness to wear many hats and “get your hands dirty.”
  • Entrepreneurial mindset with a broad perspective of what it takes to run a business.

Compensation

60,000-70,000 per year
